POSITION SUMMARY:

 

As the Executive Assistant to the President and CEO, you will be the primary administrative support to the organization’s top executive leader. This role demands a proactive individual who can manage the complex scheduling needs of the President and CEO, coordinate high-stakes meetings, and facilitate strategic communication with both internal and external stakeholders. The Executive Assistant will handle confidential information with discretion, prepare detailed executive reports, draft correspondence, and support special projects. The ideal candidate will possess exceptional organizational and communication skills, professionalism, and the ability to anticipate and respond to the needs of the President and CEO, enabling them to focus on strategic organizational priorities.

 

 

ESSENTIAL QUALIFICATIONS

Education:

 

  • Bachelor’s degree in Business Administration, Communications, or a related field

 

 

Licensure:

  • Not applicable; however, relevant certifications (e.g., Certified Administrative Professional) are a
  • Association* accredited course in Basic Life Support (BLS) (for clinical staff), or Heartsaver CPR AED (for nonclinical staff), and renewal on a regular basis, with up to a three-month grace period after the expiration date.

Skills:

 

  • Exceptional organization and time-management
  • Strong communication skills, both written and
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with scheduling software and project management
  • Ability to maintain discretion and handle confidential
  • Strong problem-solving abilities and

  • Ability to prioritize tasks and juggle multiple

 

 

Work Experience:

 

  • Minimum of 5 years of experience as an Executive Assistant, supporting C-level
  • Proven track record of managing complex calendars and travel
  • Experience in coordinating high-level meetings and stakeholder
  • Experience in handling sensitive information and special

 

 

ESSENTIAL FUNCTIONS:

 

  1. Manage and maintain the President and CEO’s complex calendar, ensuring efficient scheduling of meetings and appointments.
  2. Coordinate logistics for executive-level meetings and events, including preparing agendas, materials, and recording minutes.
  3. Serve as the point of contact between the President and CEO and internal/external stakeholders, managing communications effectively.
  4. Prepare executive reports, presentations, and other documents as required, ensuring accuracy and timeliness.
  5. Draft correspondence, emails, and other communications on behalf of the President and
  6. Handle and prioritize all incoming and outgoing correspondence, effectively managing the information flow.
  7. Assist with the preparation and monitoring of budgets, invoices, and expense
  8. Manage and coordinate domestic and international travel arrangements, including itineraries and accommodations.
  9. Support the President and CEO with special projects, conducting research, and preparing reports as needed.
  10. Maintain an organized filing system for digital and paper documents, ensuring easy retrieval of
  11. Anticipate the needs of the President and CEO, taking initiative to address potential issues
  12. Liaise with departments across the organization to ensure effective communication and information sharing.
